End-of-month payroll panic.
Your senior instructor ran three Advanced Open Water courses this month, captained two boat trips, and referred a group of six walk-ins. Meanwhile, your equipment tech logged overtime fixing regulators, and your office manager is owed a salary top-up for covering reception shifts. How do you track all of that?
Most dive centers rely on spreadsheets, WhatsApp messages, and memory. Instructor commissions get forgotten. Time entries are disputed. Cash envelopes replace payslips. By the time month-end arrives, someone on your team is spending an entire day reconstructing who is owed what -- and still getting it wrong.
The result is a payroll process built on trust and guesswork instead of data. Instructors wonder if their commissions were counted. Managers dread the end of each pay period. And the owner is left hoping the bank balance lines up with what went out in cash envelopes.
“We were paying instructors from a cash box and hoping the numbers added up at the end of the month. They never did.”

Track
Your Team, Their Roles, Their Rates
Every staff member gets a complete profile -- employment type, qualifications, pay rates, and assignment history. Whether someone is a full-time instructor, a freelance divemaster, a seasonal boat captain, or a part-time contractor, DiverDash tracks them all in one place with the right pay structure for each.
Configure activity-based rates per instructor -- per-student, per-course, fixed amount, or percentage of the course fee. Four built-in roles with granular RBAC permissions mean your front desk sees what they need and your payroll manager sees what they need.
Earn
Every Earning Flows in Automatically
DiverDash supports four earning types that cover how dive centers actually pay people. Time entries are logged by staff with overtime tracking, then approved by managers. Commissions -- both percentage-based and fixed-amount -- are tracked against sales and services, and held as pending until the customer actually pays.
Course completion earnings are automatically generated when a course is marked complete -- per-student rates or flat fees, calculated and queued without anyone lifting a finger. Salary accruals handle fixed pay for salaried staff each period. Every earning lands in the right pay period, ready for review.

Process
Three Steps. Zero Spreadsheets.
Payroll follows a three-step workflow: Approve Earnings to confirm what each person is owed, Generate Draft to run calculations across all earning types, and Process Payroll to finalize and generate payslips.
The payroll engine calculates gross pay, taxes by jurisdiction, deductions, and net pay. Validation warnings flag missing rates or unapproved entries before you finalize. Need to fix a past run? Correction runs keep a full audit trail -- no deleting and recreating.
Pay
Payslips Your Team Can Trust
When payroll is processed, DiverDash generates a detailed payslip for every staff member. Each payslip shows gross pay, taxes, deductions, and net pay with a full breakdown by earning source -- time entries, course completions, commissions, and salary accruals all itemized.
Staff access their payslips through a self-service My Payroll portal, where they can review their earnings history and download PDF exports without asking a manager. Fewer questions in your inbox, more transparency across the team.
